Service Administrator/Minute Taker
A client of ours in Central London is looking for a Service Administrator/Minute taker to join their team for a period of 3 months, the main duties of the role are listed below:-

1 To provide delivery of a professional, confidential and high quality business support service to the Safeguarding Service.
2 To provide organisational and administrative support to the systematic operations of the Service and the quality assurance responsibilities including inspections.
3 To be responsible to the Business Support Manager for the day to day running of a comprehensive, administrative function within the Safeguarding and Quality Assurance Service ensuring that at all times effective and efficient standards of practice and performance are maintained within the services’ overall organisational and policy objectives.
4 To assist in the operation and development of a comprehensive Looked After Children Review Information System.
5 To operate the monitoring systems required to generate information required for all Local Department of Education and Audit Commission Performance indicators relating to the operation of Family Services in the borough.
6 To work as an integral part of the Business Support Team ensuring that key tasks are covered to ensure the service continues to operate in times of staff absence.
7 To provide administrative assistance to the Business Support Team; This will include minuting; multi-agency child protection conferences in the absence of the Child Protection Conference Co-ordinator.

Excel at level 3 (advanced)
Knowledge & Experience:
* Accurately record minutes of complex multi-disciplinary meetings where children, young people and their families may be present.
* The ability to type accurately to a minimum of 50 wpm, using both audio and copy transcription.
* Experience of using the Microsoft Office Suite including data input and retrieval on Excel and Access and mail merge on Word.
* Experience of administrative duties, including filing, photocopying, message taking, information distribution, fax etc.
* Ability to prioritise workload and to work to tight timescales
* Excellent communication and interpersonal skills in order to work effectively with clients, colleagues and external agencies
* The ability to use data inputting systems and aggregate data.
* The ability to work within a framework of confidentiality within multi-disciplinary settings.
* Produce accurate and appropriately laid out and formatted Microsoft Office and other relevant documents
* Experience in an administrative or secretarial position including the experience of the use of Microsoft Office software.
* Experience of collecting and recording statistical data
* Experience of recording minutes at complex meetings.
* The ability to type accurately to a minimum of 50 wpm, using both audio and copy transcription.
* Experience of providing administrative support for a social work team and/ or in a children’s services setting.
